Welcome to The Safari Planners (“Company”, “we”, “our”, “us”). These Terms & Conditions govern your use of our website, travel planning services, safari bookings, tour packages, accommodations, transportation arrangements, and all related services offered through The Safari Planners.
By accessing our website or booking any service with us, you agree to be bound by these Terms & Conditions. If you do not agree with any part of these Terms, please refrain from using our services.
1. Definitions
- Company refers to The Safari Planners.
- Client, Customer, Traveler, You, or Your refers to any person booking or using our services.
- Services refers to safari tours, travel planning, accommodations, transportation, activities, and related travel arrangements offered by The Safari Planners.
- Booking refers to any confirmed reservation made through our company.
2. Booking & Confirmation
2.1 All bookings are subject to availability and written confirmation by The Safari Planners.
2.2 A booking is considered confirmed only after:
- Receipt of the required deposit or full payment;
- Submission of required traveler information; and
- Written confirmation issued by The Safari Planners.
2.3 We reserve the right to refuse or cancel any booking at our discretion if required information is incomplete or if payment is not received within the specified timeframe.
3. Payment Terms
3.1 A deposit of [30%–50%] of the total booking value may be required to secure a reservation.
3.2 The remaining balance must be paid no later than [30/45/60] days before departure unless otherwise stated in writing.
3.3 Bookings made within the final payment period may require full payment at the time of booking.
3.4 Failure to pay the balance by the due date may result in cancellation of the booking and forfeiture of any deposits paid.
3.5 All prices are quoted in the applicable currency and may be subject to taxes, government fees, park fees, or currency fluctuations.
4. Pricing & Availability
4.1 Prices displayed on the website are subject to change without prior notice.
4.2 While we make every effort to ensure pricing accuracy, errors may occur. We reserve the right to correct any pricing errors and offer revised pricing before confirmation.
4.3 Safari permits, accommodations, flights, and activities remain subject to availability until confirmed.
5. Cancellation Policy
5.1 All cancellation requests must be submitted in writing via email.
5.2 Cancellation charges may apply as follows:
- More than 60 days before departure: Deposit may be non-refundable.
- 30–60 days before departure: Up to 50% of the booking value may be charged.
- Less than 30 days before departure: Up to 100% of the booking value may be charged.
5.3 Certain permits, special accommodations, flights, and third-party services may be non-refundable regardless of cancellation date.
5.4 Refunds, where applicable, will be processed within a reasonable period after deducting applicable fees and supplier charges.
6. Changes & Amendments
6.1 Requests to modify bookings are subject to availability and may incur additional charges.
6.2 The Safari Planners reserves the right to make reasonable changes to itineraries, accommodations, transportation, or activities when necessary due to operational requirements, weather conditions, supplier changes, or safety concerns.
6.3 In the event of a significant itinerary change, we will attempt to provide a suitable alternative of similar value whenever possible.
7. Travel Documents & Requirements
7.1 Travelers are solely responsible for obtaining and carrying:
- Valid passports;
- Visas;
- Entry permits;
- Vaccination certificates; and
- Any other travel documentation required by destination authorities.
7.2 Passports should generally be valid for at least six months beyond the travel completion date unless local regulations require otherwise.
7.3 The Safari Planners shall not be responsible for denied boarding, entry refusal, or travel disruptions resulting from insufficient documentation.
8. Travel Insurance
8.1 Comprehensive travel insurance is strongly recommended for all travelers.
8.2 Insurance should ideally cover:
- Trip cancellation;
- Medical emergencies;
- Evacuation and repatriation;
- Personal accident;
- Lost baggage; and
- Travel interruptions.
8.3 The Safari Planners shall not be liable for losses that would otherwise be covered by travel insurance.
9. Health & Fitness
9.1 Travelers are responsible for determining their fitness and suitability for safari and adventure activities.
9.2 Any medical conditions, dietary restrictions, disabilities, or special requirements must be disclosed before booking.
9.3 We reserve the right to refuse participation in activities where a traveler’s condition may create safety concerns.
10. Third-Party Suppliers
10.1 The Safari Planners acts as an intermediary for accommodations, transportation providers, airlines, guides, parks, and other suppliers.
10.2 Services provided by third parties are subject to their own terms and conditions.
10.3 We are not liable for acts, omissions, delays, cancellations, negligence, or failures of third-party suppliers.
11. Limitation of Liability
11.1 The Safari Planners shall not be liable for any direct, indirect, incidental, consequential, or special damages arising from:
- Travel delays;
- Flight cancellations;
- Weather conditions;
- Wildlife sightings;
- Natural disasters;
- Government actions;
- Civil unrest;
- Health emergencies; or
- Events beyond our reasonable control.
11.2 Our total liability shall not exceed the amount paid by the customer for the specific booking giving rise to the claim.
12. Force Majeure
The Safari Planners shall not be liable for failure to perform obligations due to events beyond reasonable control, including but not limited to:
- Natural disasters;
- Floods;
- Fires;
- Epidemics or pandemics;
- Government restrictions;
- Political unrest;
- Strikes;
- Transportation disruptions; or
- Acts of terrorism.
In such circumstances, refunds and rescheduling shall be subject to supplier policies and recoverable amounts.
13. Wildlife & Safari Activities
13.1 Wildlife sightings cannot be guaranteed.
13.2 Participation in safari activities involves inherent risks associated with wildlife, remote locations, and outdoor environments.
13.3 Travelers must comply with all instructions provided by guides, park authorities, and staff.
13.4 The Safari Planners shall not be liable for incidents arising from failure to follow safety instructions.
14. Website Use
14.1 All content on this website is provided for informational purposes only.
14.2 You may not:
- Copy or reproduce website content without permission;
- Use the website for unlawful purposes;
- Attempt unauthorized access to systems or data; or
- Distribute harmful software or malicious content.
15. Intellectual Property
